Personal assistant tasks: • Communicate GM’s instructions or desires to various individuals and/or departments; • Schedule appointments and arrange meetings, conferences and travel; • Organize and maintain files of supervisor’s correspondence and records on company system; • Transcribe dictation, often of a highly technical and/or confidential nature; • Route or answer routine correspondence not requiring supervisor’s attention; • Prepare routine letters and memoranda for GM’s signature; • Prepare special reports, gathering and summarizing data; • Receive and screen telephone calls, letters, and/or visitors; • Answer routine questions and furnish information to save GM’s time; • Prepare correspondence, reports, and presentations as required by GM. • Proactively maintain positive and professional relationship with managers, staff & visitors (partners, suppliers, TPC…) • Meticulously check written communication is correct with attachments as required. Confirm documents provided for GM signature are correct. • Represent the GM’s office as efficient, professional & confidential. Others: • Assist other Company’s VIP visitors upon requested by the GM; • May assist other senior managers on travel arrangement, meetings or conferences.
